02 / DATA
Data we process
- The name-and-domain form sends the prompt you enter to app.gpf.com only when you submit it.
- When you submit the contact form, we process your name, email address, business or project description and message to respond. It is delivered through Google Workspace and retained for up to 12 months.
- A guided-demo request processes your contact details, chosen service, appointment time and booking status. We use these details to arrange and manage your appointment.
- Our hosting and security providers may process IP address, request, device, browser, timestamp and diagnostic information in server or security logs.
- 352 Consent records a pseudonymous identifier, your cookie choices, policy version and time of choice. The decorative-motion preference remains in your browser.
03 / PURPOSE AND BASIS
Why we process it
- We process enquiries and demo requests to respond to you and, where relevant, take steps before entering into a contract.
- We may also process business communications and technical logs for our legitimate interests in answering enquiries, maintaining the service, preventing misuse and keeping the website secure.
- We process consent choices to respect those choices and document compliance. Optional technologies rely on consent where the law requires it.
- Please do not submit confidential information or special-category personal data through the public forms.
04 / PROVIDERS
Providers and international transfers
- The WordPress website and BookWP booking data are hosted by Hetzner in Germany.
- Cloudflare provides website delivery and security services and may process network and security metadata.
- Contact-form email is handled through Google Workspace.
- Contact Form 7, BookWP and 352 Consent run as software within this WordPress website. They process the contact, booking and consent data described in this policy.
- Cloudflare or Google may process data outside the European Economic Area. Where that happens, we rely on an applicable adequacy decision, standard contractual clauses or another lawful safeguard.
We do not sell personal data. We may disclose information when required by law or when necessary to establish, exercise or defend legal claims.
05 / RETENTION
How long we keep data
- Contact enquiries are kept for up to 12 months after the last exchange.
- Booking customer data is retained for up to 24 months and is then anonymised by BookWP’s retention process.
- Consent records are retained for up to 18 months from the recorded choice.
- Technical and security logs are kept only as long as reasonably needed to investigate incidents, maintain the service and meet legal obligations.
We may retain limited information longer where a contract, tax rule, dispute or other legal obligation requires it.
06 / RIGHTS
Your data-protection rights
Depending on the circumstances, you may ask to access, correct, erase, restrict or receive your personal data, or object to processing based on legitimate interests. You may withdraw consent at any time without affecting earlier lawful processing.
Email info@gpf.com to exercise a right. We may need to verify your identity. You may also complain to the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens.
